Having a solid customer relationship management (CRM) platform is vital for any business to thrive—and wedding photography is no exception. I chose Sprout Studio as my CRM and I truly believe it is one of the best CRMs for wedding photographers out there!

Having a solid customer relationship management (CRM) platform is vital for any business to thrive—and wedding photography is no exception. A photography CRM is essentially your business’s command center. It helps you manage every step of the client journey, from inquiry to delivery and beyond.
CRMs come packed with tools like automations, email templates, workflows, scheduling, invoicing, and more. These features make interacting with clients seamless, organized, and professional. They allow you to stay on top of communication, deliver a consistent experience, and never miss a beat—even during the busiest wedding season.
If you want to level up your experience for your clients as a wedding photographer, it is essential to invest in a great photography CRM. Not only does it help you stay organized, but it also enhances your brand, builds trust, and allows you to focus more on what you love: capturing beautiful, candid moments.
When I first started my photography business, I was using Pixieset. As a beginner, it had everything I needed to succeed at a decent price point – a website generator, contracts, invoices, contact collector, inbox, etc.
As my business grew, so did my needs. It was becoming challenging to manage all of my shoots and projects without workflows and automations in place. I was losing track of communications, which was coming at the cost of my client experience.
When looking for a new photography CRM, I needed something that had automations, workflows, finances, reporting, scheduling, mileage and expense tracking, and a client portal. It even had MORE than I was anticipating, such as galleries, customization and branding, print sales, and more.
I personally love Sprout Studio, and I think after trying it you will too! It’s an all-in-one CRM that completely transformed how I run my business, and how my clients experience it.

In my search for the perfect photography CRM, I tried so many platforms—Pixieset, HoneyBook, Studio Ninja, Dubsado, 17Hats, and more. Each one had its strengths, but none of them felt like the right long-term fit for my wedding photography business.
Dubsado came highly recommended, and while it is very well built-out in terms of automations, the interface just felt outdated and clunky to me. It also lacked some key features I really needed, like integrated galleries and a seamless client portal.
HoneyBook is super modern and easy on the eyes, which I appreciated. But from a client perspective, it wasn’t ideal. Emails were difficult to keep track of, the client portal felt confusing, and I noticed that some planners prefer not to work with it. Although they are innovating with AI, many photographers recently left the platform due to large, unexpected price hikes.
Studio Ninja and 17Hats both felt a bit outdated and limited in features. They just didn’t offer the all-in-one functionality I was looking for.
That’s why when I found Sprout Studio, it was a breath of fresh air. It had everything I needed—beautiful design, powerful features, and an intuitive workflow that truly supports photographers. It instantly elevated how I run my business and how my clients experience it.

While Sprout Studio is an incredibly powerful photography CRM, like any robust system, there is a bit of a learning curve when getting started. The initial setup — especially when it comes to workflows and automations—can feel a little overwhelming if you jump in without a plan.
My biggest piece of advice? Prepare ahead of time. Before diving into Sprout, take the time to map out your client journey and outline your workflows on a document or whiteboard. Have all your email templates, questionnaires, pricing guides, and other content written and ready to go. That way, once you’re in Sprout, it’s as simple as copy and paste. Sprout also has the opportunity to set up a 15 minute intro call with their customer service specialists, which I highly recommend! I came prepared with questions and they were able to help me set things up as well as let me know what was on the roadmap coming up!
Yes, the setup takes effort — but it’s 100% worth it. Once everything is in place, it truly runs like a dream.
